Printer Setup & Printing Guide — Mobile Application

Printer Setup & Printing Guide — Mobile Application

Overview

This guide explains how restaurant owners and staff can connect a compatible thermal printer through the Restaurant Mobile App, configure printing settings in the Web Admin dashboard, and troubleshoot common printing issues.

Printer setup has two main parts:

  • Mobile Application: Connects the physical printer to the phone or tablet, manages automatic printing and provides printer history.
  • Web Admin: Manages registered printers, printing templates, copies, language, paper width, font size and printed receipt content.

Important: The initial printer connection must be completed through the Restaurant Mobile App. Connecting a printer does not automatically configure what it prints. At least one printing template must be linked to the printer in Web Admin before it can print documents.

USB printers are not supported through the mobile app's printer setup flow.

1. How the Printing System Works

The Mobile Application and Web Admin work together to enable order printing.

Mobile Application

The mobile app is responsible for:

  • Connecting a physical printer using Bluetooth or a network connection.
  • Pairing the printer with the phone or tablet when required.
  • Enabling or disabling automatic printing when an order is accepted.
  • Sending print jobs to the connected printer.
  • Providing printer usage history.

Web Admin

Web Admin is responsible for:

  • Viewing registered printers.
  • Linking printing templates to printers.
  • Configuring the number of copies.
  • Selecting the printing language.
  • Configuring paper width and font size.
  • Selecting which information appears on printed tickets and receipts.

Printing Flow

Physical Printer → Restaurant Mobile App → Registered Printer → Web Admin Template → Print Trigger → Printed Ticket

Key rule: The mobile app establishes the printer connection, while Web Admin defines what should be printed.

2. Supported Printer Connection Types

The mobile app provides the following printer connection options.

Connection type

How it works

Typical use

Bluetooth

Connects the phone or tablet directly to a nearby printer.

Counter and receipt printers

Wi-Fi

Connects through the restaurant's local wireless network.

Kitchen and counter printers

Ethernet

Connects through a wired network.

Fixed kitchen and POS installations

Compatibility depends on the printer model, connection method and supported protocol. Check the separate Printers Supported article before purchasing or configuring a printer.

3. Before You Start

Before connecting a printer, check the following.

Printer requirements

  • The printer is powered on.
  • Printing paper is installed correctly.
  • The printer is not displaying an error.
  • The required connection method is available.
  • The printer model and connection method are supported.

Restaurant configuration

Identify:

  • Which outlet the printer belongs to.
  • Whether the printer will print customer receipts, kitchen tickets, bar tickets or driver slips.
  • How many copies are required.
  • Which printing language is needed.
  • Whether the printer uses 58 mm or 80 mm paper.

4. Open Printer Settings in the Mobile App

  1. Open the Restaurant Mobile App on your phone or tablet.
  2. Navigate to My Profile.
  3. Open Settings.
  4. Select Auto-print orders.

On this screen, you can add printers, enable automatic printing and review printer history.

5. Add a Printer

  1. On the Auto-print orders screen, tap Add Printer(s).
  2. Choose one of the available connection methods:
    • Bluetooth
    • Network (Wi-Fi / Ethernet)
  3. Follow the instructions for your selected connection method.
  4. Complete the connection process.
  5. Return to the printer settings screen and verify that the printer is available.

After connecting the printer through the mobile app, open Web Admin and confirm that the printer appears under Settings → Printers & Templates.

6. Bluetooth Printer Setup

Bluetooth printing is suitable when the printer is located near the phone or tablet running the Restaurant Mobile App.

Steps

  1. Turn on the printer.
  2. Put the printer into Bluetooth pairing mode according to the manufacturer's instructions.
  3. Open the phone or tablet's system Bluetooth settings.
  4. Pair the device with the printer.
  5. Return to the Restaurant Mobile App.
  6. Open My Profile → Settings → Auto-print orders.
  7. Tap Add Printer(s) and choose Bluetooth.
  8. Tap Show Paired Printers.
  9. Select the correct printer from the available list.
  10. Complete the connection process.

Important: The app displays printers that the device has already paired with. If you have not completed system-level Bluetooth pairing, the list may be empty.

Tip: If several printers have similar names, check the printer's name or Bluetooth/MAC address to identify the correct device.

7. Wi-Fi and Ethernet Printer Setup

Network printing is suitable for printers connected through the restaurant's local network.

Steps

  1. Turn on the printer.
  2. Connect the printer to the restaurant's Wi-Fi network or Ethernet network.
  3. Ensure the phone or tablet has access to the appropriate network.
  4. Open the Restaurant Mobile App.
  5. Navigate to My Profile → Settings → Auto-print orders.
  6. Tap Add Printer(s).
  7. Select Network (Wi-Fi / Ethernet).
  8. Allow the app to search for available network printers.
  9. Select the correct printer if it appears.
  10. If the printer is not detected, choose Enter IP manually instead and enter the printer's IP address.
  11. Follow the on-screen instructions to complete the connection.

If the printer is not found

  • Confirm that the printer is powered on.
  • Verify that the printer is connected to the network.
  • Check that the IP address is correct.
  • Scan for available printers again.
  • Confirm that the network allows the device to communicate with the printer.

After connecting, confirm that the printer appears in Web Admin and link the required printing template.

8. Configure Automatic Printing

The Restaurant Mobile App allows you to control whether receipts print automatically when you accept an order.

Enable automatic printing

  1. Open My Profile.
  2. Select Settings → Auto-print orders.
  3. Find Auto-print on accept.
  4. Turn the toggle on.

When enabled, receipts print automatically when you accept an order, provided the printer is connected and the required printing configuration is in place.

Disable automatic printing

Turn Auto-print on accept off if you prefer to print receipts manually from the order screen.

Important: Automatic printing requires a working printer connection and an appropriate template linked through Web Admin.

9. View Printer History

Printer history helps you review available printer usage records on the device.

Steps

  1. Open My Profile → Settings → Auto-print orders.
  2. Tap Printer history.
  3. Review the available information, such as printer name, connection type, address and usage dates.

Clear printer history

The printer history screen provides an option to clear saved printer usage records.

Important: Clearing printer history removes saved usage records from the device. It does not remove the physical printer or disconnect it.

10. Verify the Printer Connection

After connecting a printer, verify both the connection and the printing configuration.

Check the connection

Confirm that:

  • The printer is powered on.
  • The printer is available in the Restaurant Mobile App.
  • The selected connection method is working.

Check the configuration

  1. Sign in to Web Admin.
  2. Navigate to Settings → Printers & Templates.
  3. Open the Printers tab.
  4. Confirm that the connected printer appears in the list.
  5. Verify that at least one printing template is linked to the printer.

Important: If Web Admin displays “No templates linked — this printer will not print anything yet,” the printer has been registered but has not been configured to print a document. Link a template before testing.

11. Configure the Printer in Web Admin

Once the physical printer is connected through the mobile app, use Web Admin to configure its printing behavior.

Steps

  1. Sign in to Web Admin.
  2. Open Settings.
  3. Select Printers & Templates.
  4. Open the Printers tab to manage registered printers and their template assignments.
  5. Open the Templates tab to manage printing document layouts.
  6. Select the printer or template you want to configure.
  7. Make the required changes and save them.

Built-in templates

Template

Purpose

Typical content

Customer Receipt

Customer-facing receipt

Items, prices, totals and payment information

Kitchen Ticket

Kitchen preparation

Items, modifiers and customer notes

Bar Ticket

Bar or drinks preparation

Drinks and preparation information

Driver Slip

Delivery or driver document

Delivery and order information

Available template options determine what information is printed.

A connected printer needs at least one linked printing template.

Steps

  1. Open Settings → Printers & Templates in Web Admin.
  2. Open the Printers tab.
  3. Select the required printer or open its edit screen.
  4. Add the required template row.
  5. Choose the template type.
  6. Select the printing language.
  7. Set the number of copies.
  8. Save the configuration.

Each template row defines the document to print, its language and the number of copies.

Example configurations

Counter printer — one customer receipt

  • Customer Receipt
  • English
  • 1 copy

One printer — kitchen ticket and customer receipt

  • Kitchen Ticket — English — 1 copy
  • Customer Receipt — English — 1 copy

Separate kitchen and counter printers

  • Link Kitchen Ticket to the kitchen printer.
  • Link Customer Receipt to the counter printer.

Two kitchen copies

  • Kitchen Ticket — English — 2 copies

Multiple languages

Add separate template rows with the required languages and copy counts, where supported.

13. Configure Paper Width and Printed Content

In Web Admin, open Settings → Printers & Templates → Templates and edit the required template.

Depending on the selected template, available settings may include:

  • Template name and type.
  • Paper width: 58 mm or 80 mm.
  • Font size.
  • Active or inactive status.
  • Grouping items by category.
  • Category-wise printing.
  • Visible receipt or ticket sections.
  • Custom text and footer notes.
  • Live preview of the printed layout.

Important: 58 mm versus 80 mm

If one printer uses 58 mm paper and another uses 80 mm paper, use separate templates where necessary.

Templates may be shared across printers, so changing a shared template can affect every printer using it.

Always save changes and perform a physical test print to verify the output.

14. Test the Printer

Always perform a real print test after completing setup or changing the configuration.

Test checklist

Verify:

  • The printer is powered on and connected.
  • The correct template is linked.
  • Paper width is correct.
  • Font size is readable.
  • The correct language is selected.
  • The correct number of copies is configured.
  • The expected receipt or ticket sections are visible.
  • The printed text is readable and properly aligned.
  • The document prints on the intended printer.

A configuration appearing correctly in Web Admin does not by itself confirm physical printing. Always test the actual printer.

15. Troubleshooting

Printer is connected but nothing prints

Check that:

  • The printer is powered on and has paper.
  • The printer is connected through the mobile app.
  • The printer appears in Web Admin.
  • At least one template is linked.
